Sypher Solutions s.r.l. (Sypher) periodically transmits materials and other information intended mainly for data protection and compliance specialists, for the purposes and conditions specified below.

How do we collect your data

We collect your email address and/or other contact information when you register for an event, download or access a resource from our website, participate in a survey, or fill out one of the forms on our website or other pages operated by Sypher. We may also receive your personal data in other ways (for example, if you send us an email requesting information, or if you attend an event sponsored by Sypher, the organiser of which makes it available to us).

What personal information do we collect?

We usually collect your business email address, name, company, and sometimes phone number. We may also collect additional statistical information about your organization, your use of your organization, and your use of your personal data. products or services similar to ours or about products or services in which you are interested.

Also, when you access the online platforms used to organize webinars, information regarding the IP addresses from which you connect, the device used, logs on the use of the platform, the user profile (if you are logged in), etc. may also be collected and processed.

How will we use your personal information?

We will use your data to send you the requested information (e.g. links to download resources or access the live webinar live etc.) and also, depending on the situation, occasional or periodic emails with information about other events, news and resources that we think may be useful to you, as well as commercial messages about Sypher products and services.

More specifically, we process personal data for:

  • Ensuring communication with webinar participants and for technical support;
  • Forwarding information about upcoming events, informational content, requested resources, other similar communications;
  • Sending commercial communications (if we have received explicit consent to do so).

Lawful basis for processing

  • Legitimate interest – to respond to any questions, complaints or recommendations received from data subjects, in order to provide them with assistance technical and to improve the services and experience it provides to data subjects, including through social media accounts; also to send communications on events, resources or information of professional interest, which we believe would be of interest to the data subjects.
  • Execution of a contract – for the organization of participation in Sypher events and the transmission of organizational information;
  • Legal obligation - if we receive a request from the competent authorities;
  • Consent - for the transmission of commercial messages.

Who will we share your personal information with?

We typically disclose your personal information with our affiliates and service providers who act as data processors to help us run our business (e.g., data service providers, data processors CRM providers). This usually means that your information will be stored on their servers.

If we have a legal obligation and there is a request from a government authority, we may also share information with them.

How do we protect your personal information?

We take the security of your personal information seriously and use appropriate technical and organizational measures to protect it against unauthorized access, disclosure, alteration, or destruction.

Third country transfers

Currently, we do not transfer your data outside the EU/EEA.

The platforms used to organise webinars and send messages are configured to use servers within the European Union.

How long do we keep your information?

We only store your data for as long as we can reasonably determine that you are interested in communications received from us.

We will delete your personal data used for marketing purposes in any of the following cases:

  • You ask us to do so – within 30 days of your request
  • We are unable to contact you (e.g. email bounces) or we determine that your information is no longer accurate – within 3 months of this determination
  • We have reasons to believe you are no longer interested in receiving information from us (e.g. we have asked if you are still interested in hearing from us and have not received a response) - within 3 months of this determination.

Your rights

You have the right to be informed, to access, correct, delete, or restrict the processing of your personal information.

You also have the right to data portability, to object to processing and not to be subject to a decision based solely on automated processing.

If the processing is carried out on the basis of consent, you can withdraw your consent to processing at any time.
